Privacy Policy
This policy explains how MEDIA-SOCIETY.COM PRESS & CREATORS NETWORK (“Media-Society”) processes personal data in accordance with Regulation (EU) 2016/679 (GDPR) and Spanish Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights (LOPDGDD).

What we process and why
Website enquiries
When you contact us by email or through a form, we process your name, contact details and message to respond to your enquiry. Legal basis: legitimate interest / pre-contractual measures. Retention: up to 24 months after the matter is closed.
Membership applications
We process the information you provide in the application form — identification and contact details, professional category, biography, affiliations, work examples and optional CV/portrait — to review your application and administer membership. Legal basis: pre-contractual measures and consent. Retention: for the duration of membership; unsuccessful applications are deleted within 12 months unless you ask us to keep them.
Member records and contributor profiles
We maintain internal member records and publish contributor profiles only with information approved for public display. Personal addresses, identity numbers and phone numbers are never published. Legal basis: membership relationship and consent for public profiles.
Credential administration and identity verification
To issue and verify credentials we process your name, photograph, professional role, credential number, validity dates and status. Identity documents supplied for verification are stored in protected, non-public storage, used solely for verification, and deleted in accordance with our retention schedule once no longer necessary. Legal basis: legitimate interest in operating a verifiable credential system and performance of the membership relationship.
Creator uploads and provenance records
When a creator deposits a work, we store the original file, declared creation date, technical metadata (including SHA-256 hash and EXIF data where available), licensing status and publication history. Original files are never publicly downloadable. Legal basis: performance of the service requested by the creator.
Licensing requests
We process requester contact details and the intended use in order to forward the enquiry to the rights holder. Legal basis: pre-contractual measures.
Assignment records
Assignments are recorded with the contributor’s name, credential number, commissioning outlet, event, location and dates. Public verification pages display only the fields needed to confirm the assignment. Legal basis: performance of the assignment and legitimate interest in verifiable editorial documentation.
Security logs
Our hosting environment keeps standard server logs (IP address, browser, pages requested) for security and abuse prevention. Retention: up to 12 months. Legal basis: legitimate interest in keeping the website secure.
Newsletter
If a newsletter is activated, subscription is based on your explicit consent, which you may withdraw at any time via the unsubscribe link.
Data minimisation
We do not collect data simply because it might someday be useful. Public member information and private administrative information are stored and managed separately.
Recipients and transfers
Data is accessible only to authorised Media-Society administrators and, where strictly necessary, to our hosting and email providers acting as data processors. We do not sell personal data. If a service provider outside the European Economic Area is ever used, appropriate safeguards under Chapter V GDPR will be applied.
Your rights
You may request access, rectification, erasure, restriction, portability and object to processing by writing to privacy@media-society.com. You may also lodge a complaint with the Spanish Data Protection Agency (AEPD, www.aepd.es).
Changes
This policy may be updated to reflect organisational or legal changes. The current version is always published on this page.
